Mobile App
The Mobile Service Sync mobile app is the companion app for running your business from the field: see your schedule, open a work order, capture inspection photos, text customers, request time off, clock in and out, and mark jobs complete - without loading the full desktop CRM on a phone.
Installing the app
- iOS - live on the App Store: download Mobile Service Sync.
- Android - live on Google Play: download Mobile Service Sync.
Sign-in uses the same account as the desktop CRM, so password resets and 2FA settings carry over automatically.
Signing up in the app
You do not need a desktop to get started - the app has its own sign-up. Create an account and the app walks you through a two-step setup:
- What do you do? Pick your business type (mobile oil change / fleet maintenance, mobile mechanic, mobile detailer, or mobile key creation). This tailors your starter jobs, templates, and booking page - you can change it later in Settings.
- Tell us about your business. Business name and shop phone. That is all that is required; your address, canned jobs, and everything else can be filled in later from Settings on the web.
After setup you land on the home screen with a fresh two-week trial - same trial as signing up on the website.
What you can do in the app
- See today's schedule - assigned work orders for the day, with customer, vehicle, address, and time window.
- Open a work order - line items, customer info, vehicle info, service notes.
- Update WO status - advance the status flow (dispatched -> en route -> on site -> in progress -> completed).
- Complete required inspections - pre-service walkaround, post-service checklist, with photo capture.
- Capture photos - attach to the WO or to an inspection item.
- Text customers - the SMS inbox, including sending and receiving photos and files (see SMS Inbox).
- Request time off - file requests, check your PTO balance, and (for managers) approve or deny the team's requests (see Time Off & Availability).
- Clock in / clock out - same time-tracking system as the desktop app.
- Search jobs - find work orders by keyword or date.
The More tab collects your profile, work order and invoice lists (permission-dependent), time off, timesheet, and account actions.
What is not in the mobile app yet (use the desktop CRM):
- Editing service types, prices, or quote terms.
- Building new quotes.
- Managing fleet accounts.
- Settings (other than personal profile).
Offline behavior
The app caches your assigned work orders for the day at sign-in so a tech with patchy reception can still see their next job. Photos taken while offline queue locally and upload as soon as connectivity returns. Status changes also queue and replay in order.
If you need to know whether a tech's offline data has synced, the app shows a "Pending sync" banner at the top until the queue clears.
Permissions
Mobile app users see only what their role allows on the desktop app. A Technician sees only their own assigned WOs; an Office Manager can see all WOs and reassign them. The mobile API enforces the same permission checks as the desktop API - no role escalation by switching apps.
Deleting your account
More -> Delete account permanently deletes your account, per App Store data-deletion requirements:
- Owners delete the entire business - customers, jobs, invoices, and team members included. This cannot be undone.
- Team members delete their own account and personal data and are removed from the business; the business itself is untouched.
If you just want to leave a team without deleting data, ask an admin to deactivate your user from Settings -> Team on the web instead.
Troubleshooting
"I do not see today's work orders" Check that the WOs are assigned to you (not unassigned). Technicians do not see unassigned jobs on the mobile app. If they are assigned to you and still not showing, pull-to-refresh on the schedule screen forces a re-fetch from the API.
"My photos are not uploading" Check the connectivity indicator. If you have signal but uploads are still stuck, sign out and back in - that flushes the upload queue.
"I cannot clock out"
The clock-out button is disabled if you have an open WO in in_progress status assigned to you. Mark the WO complete (or back to a non-active status) first.
